This policy explains how Entertainworx processes personal information when you enquire, make a booking, attend an event, communicate with us or use this website.
1. Who we are
Entertainworx is a Johannesburg-based DJ and event-entertainment service operating in South Africa. For purposes of the Protection of Personal Information Act 4 of 2013 (“POPIA”), Entertainworx is the responsible party for personal information described in this notice.
2. Information we collect
Depending on how you interact with us, we may collect:
- your name, email address, telephone number and preferred contact method;
- event details such as the date, venue, guest count, event type, timetable and music preferences;
- quotation, booking, invoice and payment-related records;
- messages, feedback and correspondence;
- photographs or recordings from events where appropriate notices, permissions or contractual arrangements apply; and
- limited technical information sent by your browser or hosting provider, such as IP address, device type, page requests and security logs.
We generally receive information directly from you, an authorised event organiser, a venue, a referral partner or a platform you use to contact us.
3. Why we process it
We process personal information only where reasonably necessary and permitted by POPIA, including to:
- respond to enquiries and prepare quotations;
- plan, coordinate and deliver booked services;
- communicate with clients, venues, suppliers and performers;
- administer payments, records and legal obligations;
- protect our systems, equipment, staff, clients and guests;
- resolve complaints or enforce agreements; and
- send marketing only where permitted, with a clear way to opt out.
Where information is required to quote for or deliver an event, choosing not to provide it may prevent us from supplying the requested service.
5. Retention and security
We retain information only for as long as reasonably required for the purpose collected, our contractual relationship, dispute management, and applicable tax, accounting or legal retention duties. We then delete, destroy or de-identify it where reasonably practicable.
Reasonable technical and organisational safeguards are used to protect information against loss, unauthorised access, alteration or disclosure. No online system can be guaranteed completely secure. If a security compromise affecting your information occurs, we will act in accordance with POPIA.
6. Your choices and rights
Subject to POPIA and other applicable law, you may ask whether we hold personal information about you; request access to or correction of it; object to certain processing; request deletion where no lawful retention ground remains; withdraw consent where processing depends on consent; and opt out of direct marketing at any time.
We may need to verify your identity before acting on a request. Access may be limited where another person’s rights, confidentiality or the law requires it. See our Access to Information page for PAIA requests.
